Tasks piling up? Using the backlog, archive, and Sunny to reset and declutter ************************** The Meditations Newsletter ************************** A weekly Sunsama newsletter to help you work a little bit better. *************** 🙋 Ask Ashutosh *************** Drop your question here ( https://airtable.com/applbPhRid6UE7rPb/shrEtUm8z8wqIFW7t ) to get an answer in a future newsletter. 💬 Christina asks: What’s best practice for auto-archive, and any other relevant Sunsama settings? My problem: I have tasks rolling over for 14 days, because I’m worried that I’ll forget about them; but a couple of “off-plan days” create huge daily workloads on the next day, that are too overwhelming for me to sort through in stressful times. I feel like you've talked about this before, but I'm not sure. Also, please spill any other survival hacks for busy times - any other things in how I set up and use Sunsama that would help with this and similar problems? -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- 🎙️ Ashutosh's response: It sounds like you need a place where tasks can be not forgotten but also not right in your face. The right place for that is the Backlog! I also recommend much tighter settings on the archive, if you can, like 3 days. Realistically, for me, if I don't do it in 3 days I will never do it. Your number may vary! --------------------------------------------------------------------------------------------------------------------------------------------------------------------------- *********************************************************** 💡 Pro tip: Reset your day or week midstream in two minutes *********************************************************** Behind on the week and overbooked? Two ways to reset without dragging tasks around: ask daily planning (Autoplan) to re-plan today and push what won't fit to tomorrow, and/or ask Sunny to smooth out the rest of the week. You can undo anything either one does. (Note: the Autoplan version of Daily Planning is in beta for most users: turn it on in Settings > Beta. Sunny is available to everyone. We're also working on making weekly planning easier. More soon.) ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- ( https://www.loom.com/share/42c05f7fb3ec4c9eb5d3d54a901e2c98 ) ************ ☕️ Snackables ************ Digestible, quick-hitting blogs packed with tips to improve your workdays. Slack thread here ( https://sunsamacommunity.slack.com/archives/C092Q42DCRY/p1792439307634899 ) Abel asked how to stop new tasks from swamping their daily list when their backlog is already huge. Here's what the community suggested: Make the backlog a holding pen, not a graveyard. Stuart puts new tasks in "Someday" unless there's a real deadline. Once a week he grooms the backlog: pull a few things forward for next week and ruthlessly cull the rest. Then he plans each day from that short list. Sort everything into channels first. Christian files every incoming task into a channel (backlog folders work like projects), then decides weekly which channels get priority. Filtering Home, Daily, and the backlog by channel keeps the list short enough that nothing gets lost. Capture elsewhere, pull in deliberately. adake dumps everything into Todoist and only pulls a task into Sunsama when it's ready to be worked on. The catch: don't build a system that takes more upkeep than it saves. ******************************* Ways to get more out of Sunsama ******************************* 👋 Join the Community Step into our private Slack space—your mindful-productivity club—to swap tips, find accountability partners, and catch live Flow Sessions.
