Because tasks have more than one way of finding you: in those precious seconds between back-to-back meetings, halfway around the dog walk, or in the infamous inbox (mine refills before I’ve finished celebrating inbox zero). Here are four routines worth building. -------------------------------------------------------------------------------- End every meeting with the follow-ups already in Todoist Sooner or later, the notes from the client meeting have to become an actual task list. Instead of painstakingly writing it all up by hand, drop the document, or a screenshot of it, into Todoist [https://www.todoist.com/help/todoist/todoist-and-ai/capture-tasks-from-text-images-and-documents-cAflh0WKe?utm_source=todoist&utm_medium=email&utm_campaign=2026_10_todoist_monthly] and watch the tasks write themselves. Make it the last step of every meeting, and the follow-ups no longer depend on your memory. [https://images.ctfassets.net/5zyjowl7hbbz/5FvtoD6UwXwDm23OcnO0sp/6fea02509b817e13a41554248d88c241/extracting-solo-en.gif] Catch it before you’re back at your desk Your phone is already in your pocket. Put a Todoist widget on your lock/home screen (Android [https://www.todoist.com/help/todoist/features/use-a-todoist-widget-on-your-android-device-632pZA?utm_source=todoist&utm_medium=email&utm_campaign=2026_10_todoist_monthly] or iPhone [https://www.todoist.com/help/todoist/features/use-a-todoist-widget-on-an-apple-device-ptRdme?utm_source=todoist&utm_medium=email&utm_campaign=2026_10_todoist_monthly]), and capture is one tap away. And when typing gets in the way – in the car between stops, walking from one meeting to the next – talk to Ramble [https://www.todoist.com/help/todoist/todoist-and-ai/dictate-to-add-tasks-with-ramble-P1Raq7vVF?utm_source=todoist&utm_medium=email&utm_campaign=2026_10_todoist_monthly]. Rattle off your to-dos, and it turns what you say into tasks, with any date, priority, or project you mention. Congrats, no catch-up admin needed when you’re finally back at your desk. A celebratory spin in your chair is optional but encouraged. [https://images.ctfassets.net/5zyjowl7hbbz/6J2P1pmy9PA4lovoVkzo2h/e994b43711740c825ce5ab3c20c81fce/phones-en.png?w=1000&fm=png] Let your inbox feed the list The to-dos hiding in your inbox don’t have to stay there. Forward the email to Todoist [https://www.todoist.com/help/todoist/features/forward-emails-to-todoist-JPJ1V339?utm_source=todoist&utm_medium=email&utm_campaign=2026_10_todoist_monthly], and it becomes a task, with the email and any attachments in the comments. If you’re on the Pro plan, you can have Todoist automatically pick out the date and time, add a description, and rewrite the task name into something clear and actionable. Your inbox will refill regardless. At least now it won’t be doubling as your to-do list. Ask your AI assistant of choice to sweep your meeting notes and inbox for action items each morning, so they’re waiting in Todoist when you sit down. Take a little time to build some solid routines, and you’ll find Todoist starts to take some of that load off your shoulders. See you next month. Productively, [https://res.cloudinary.com/doist-emails/image/fetch/f_png/c_scale,h_48,w_48/r_max/https://images.ctfassets.net/5zyjowl7hbbz/5TLvxjz8HyhoGtse9WAVau/8f7a80d84cd6348e87310e4444ed9f46/Denise_Avatar.jpeg?_a=DATAiZhKZAA0] Denise P.S.
